Who we are

Seishūkan Dojo (“we”, “us”) provides traditional Shotokan Karate training in Birkirkara, Malta. We are affiliated with JKA WF MALTA. For privacy matters, contact us at [email protected].

What data we collect

Depending on how you use our website and services, we may process:

  • Enquiry and registration forms: name, email, phone, age group, child’s name (where applicable), and any message you send.
  • Member accounts: name, email, role, member number, and login credentials or linked social sign-in identifiers.
  • Student training records: attendance, grading, scores, belt history, instructor notes, and related progress information for enrolled students.
  • Technical data: IP address, browser type, and basic usage information when you use the website or member app.

Why we use your data

  • To respond to enquiries and trial registrations — legitimate interest and, where needed, steps before entering a training arrangement.
  • To provide the members portal — performance of our relationship with members, parents, and students.
  • To run classes safely and track progress — legitimate interest in operating the dojo and supporting students.
  • For optional website analytics — only with your consent, to understand how the public site is used.

Children’s data

Our classes include children from age 3 upward. If you register a child, a parent or legal guardian must provide the information and confirm consent on our registration form. We use children’s details only to respond about training, arrange trial sessions, and — once enrolled — to manage participation, safety, and progress at the dojo.

Who we share data with

We use trusted service providers to operate the website and member systems, including:

  • Cloudflare — website hosting, security, and infrastructure.
  • Web3Forms — delivery of contact and registration form submissions to our email inbox.
  • Google / Facebook — optional social sign-in for member accounts only, when you choose that login method.
  • Analytics provider — privacy-friendly usage statistics, only if you opt in through our cookie preferences.

We do not sell personal data. Social links on our site (Instagram, Facebook, WhatsApp) are ordinary links; they do not embed tracking widgets on our pages.

How long we keep data

  • General enquiries and trial registrations: typically up to 24 months, unless a longer period is needed to follow up or convert to membership.
  • Active member and student records: for the duration of membership and a reasonable period afterward for grading history and legal obligations.
  • Session and security logs: for as long as needed for security and troubleshooting.

Your rights

Under applicable data protection law (including the GDPR), you may have the right to access, correct, delete, restrict, or object to certain processing of your personal data, and to withdraw consent where processing is based on consent. To exercise these rights, email [email protected]. You may also lodge a complaint with the Office of the Information and Data Protection Commissioner in Malta.

Member sign-in

When you sign in to the members area, we set session cookies that are required to provide the service you requested. These are not used for advertising and do not require a separate marketing consent step.
